Who we are

ShiftSwap is the private, internal staff-scheduling application of Scarlet Pub, operated by its management for its own employees. It is not offered to the public, and only current staff members added by a manager can use it.

What we collect

We store your name, your mobile phone number, your assigned work shifts, and the shift-swap or shift-cover requests you make or respond to. Nothing else is collected: no location, no contacts, no advertising identifiers.

Text messages (SMS)

Login codes are sent only when you ask for one: you enter your own number on the sign-in screen and tap “Text me a code.” Recurring shift notifications by text are a separate, optional opt-in: an unchecked checkbox on that same screen with its own consent language. You can leave it unchecked and still use ShiftSwap fully; the app can notify you with free push notifications instead. That opt-in applies only to messaging. It is not part of your employment agreement or any other agreement, and it is not a condition of employment or of using ShiftSwap. Text notifications are limited to: swap and cover requests, requests for manager approval, and confirmations when a request is approved, declined, or cancelled. We never send marketing or promotional messages. Message frequency varies with your schedule activity. Message and data rates may apply.

Reply STOP at any time to stop all texts from us (you can still sign in with a push notification code or a code from your manager), or reply HELP for help. You can also ask a manager to remove your number.

How your data is used and shared

Your information is used only to run the schedule and deliver the messages described above. We do not sell, rent, or share your personal information with third parties for their own use. Mobile opt-in data and consent are never shared with third parties or affiliates for marketing purposes. Texts are delivered through Microsoft Azure Communication Services, which processes phone numbers solely to deliver messages on our behalf. Data is stored on Microsoft Azure infrastructure.

Retention and your choices

Schedule and request history is kept while you are on staff and for a short period afterward for record-keeping, then deleted. You may ask management at any time to correct your details or remove your account.
